Standard compensation

The Debt Collection Act allows a maximum standard compensation of €40 in the collection of company receivables.
The standard compensation can be used from the moment the creditor becomes entitled to a late fee. If the creditor is entitled to a late fee, they have the same right to standard compensation without having to send a payment reminder or a request for the receivable.
The use of standard compensation is always mentioned in the itemisation of unpaid receivables. In addition to the principal amount and the late fee, the basis for costs may be either the reminder fee or the standard compensation.

Legal fees in a summary matter

Standard fee:
€115 if the principal amount is less than €300
€145 if the principal amount is more than €300 but less than €1000
€175 if the principal amount is more than €1000

High fee:
€145 if the principal amount is less than €300
€185 if the principal amount is more than €300 but less than €1000
€225 if the principal amount is more than €1000

Legal fees are charged as standard fees if the matter can be considered regular; the high fee is charged if the matter is more challenging than normal.

A matter is considered challenging when resolving the matter has included negotiations for a settlement or when the preparation of summons requires special legal expertise due to difficult interest calculations or guarantees. Legal fees can also be charged according to the high rate in a matter in which the summons includes receivables from multiple creditors to the same debtor.

Reimbursement of an overpayment

€5 if the bank account number is submitted through MyRopo.
€9 if the account number is notified via e-mail, contact form or ordinary post, as more manual work is required to process the matter.

Ropo regularly returns overpayments to customers that have paid sums higher than the invoice sum or who have paid an invoice twice. The fastest way to get your refund processed is via MyRopo with a processing time of approximately three banking days.

The letter on overpayment includes information on the service fee charged for the processing of the overpayment. The service fee covers the costs incurred from the work related to the reimbursement of the payment and will be charged if the error in the payment is due to the negligence of the payer. The payment fee is based on instructions from the Finnish Competition and Consumer Authority.

Copy if the invoice

Upon request, we can deliver a copy of the invoice and the payment monitoring letter with a processing fee of €5/copy.

The copy is typically delivered by e-mail but a paper copy is possible upon request.

You can also check the status of your open invoices easily on MyRopo, which you can use by logging in with your online banking codes at myropo.fi. You can also pay the invoice on the online service so that the payment will be recorded in real time.

Responsibility for total costs

Consumer:
€60 if the principal amount is €100 or less
€120 if the principal amount is more than €100 but less than €1000
€210 if the principal amount is more than €1000

Companies:
€250 if the principal amount is €500 or less
€470 if the principal amount is more than €500 and less than €2500
€550 if the principal amount is more than €2500 and less than €10 000
€620 if the principal amount is more than  €10 000

If the creditor is unable to deduct VAT in their taxation, in addition to the maximum amounts, an amount equal to VAT can be claimed from the debtor.

The responsibility for the total costs may be exceeded in some cases.

Maximum number of procedures

Consumer:
The number of payment reminders has not been restricted but the minimum amount is one.
Collection fees may only be collected from the debtor on a maximum of two payment requests, but the number may be exceeded under some conditions if there is a special reason to do so.
A maximum of one paid payment plan if the receivable is under public law or if the amount owing is €100 or less.

Companies:
Costs may only be collected on one payment reminder if the collection is continued with a draft.

Collection costs may be collected from the debtor on multiple payment requests, payment plans, drafts and payment requests with threat of bankruptcy if there is a special reason for multiple collection procedures. However, the procedures must always be set in proportion to the principal amount under collection. A special reason to exceed the maximum limit may be, for example, that the receivable is overdue in multiple instalments.

Time limits for collection procedures

Consumer:
The first possible payment reminder subject to a fee can be sent, at the earliest, 14 days after the due date.
Multiple reminders can be sent regarding the same invoice, but there must always be at least 14 days between reminders when they are subject to a fee.
The first payment request subject to a fee may be sent at the earliest 14 days after sending the payment reminder.
The second payment request may be sent at the earliest 14 days after sending the first payment request.

Companies:
Collection costs may be collected on a payment request only if the time elapsed between the previous payment reminder and the sending of the payment request is at least ten days.
Collection costs may only be collected on due date extensions if the due date is extended by at least 14 days.
The draft may not be sent until the debtor has been sent a payment reminder, which sets a time limit of at least 10 days for payment of the claim or submission of remarks on the claim, and the time limit has expired. It is also possible to meet the above deadline by adding the deadlines for any multiple reminders or payment requests together if they have been sent before the draft.
The draft can be protested for 14 days after it has been sent. The draft cannot be protested later than 60 days after it has been sent, unless otherwise agreed in writing with the debtor.
