A guide to understanding what happens when a payment is overdue
If you’ve received a reminder or collection letter from Ropo, understanding the process can help you take the right steps to resolve the matter. This guide explains the typical stages of a late payment process and what you can do at each step.

Stage 1: The invoice due date
If you pay the invoice by the due date, the matter is closed – no further action is needed.
If the payment is delayed, the invoice becomes overdue. Late payment interest may begin to accrue from the day after the due date, in accordance with local regulations or the terms agreed in the original contract.

Stage 2: Payment reminder
After the due date has passed, you may receive a payment reminder. This is a notification that the invoice is still unpaid and provides a new due date for payment.
What you should know:
- The reminder is sent through the same channel as the original invoice, if that channel supports reminders, or by post if needed.
- You may also receive a text message reminding you about an upcoming or overdue payment.
- A reminder fee may apply, depending on local regulations. In some cases, more than one reminder may be sent.
- Paying the full amount – including any reminder fee – resolves the matter. A reminder does not create a payment default.
Can’t pay on time? Contact us as soon as possible. We can often arrange a payment plan or postpone the due date.

Stage 3: Voluntary debt collection begins
If the invoice remains unpaid after the reminder(s), the case may move to the voluntary debt collection phase. This typically involves one or more collection letters (often called demands for payment – maksuvaatimus in Finnish, inkassokrav in Swedish and Norwegian).
What you should know:
- Collection letters include information about the outstanding amount, accumulated interest, and any collection fees.
- The number of collection letters and the time between them varies by country, local legislation, case type (business or consumer), and the collection process agreed with the creditor. Case type refers to whether the debt concerns a business customer (B2B) or a consumer (B2C).
- Payment arrangements are still possible at this stage – you can often arrange a payment plan or postpone the due date. Contact us through MyRopo or use the phone number and contact details provided on your invoice or letter.
Important: Receiving a demand for payment does not automatically create a payment default. A default can only be registered if the creditor formally applies to a public authority or court and the debt is legally confirmed.

Stage 4: Notice of legal action
If the original invoice remains unpaid despite voluntary collection efforts, you may receive a notice informing you that legal proceedings are being considered. This is often your last opportunity to settle the matter before the case moves to court.
What you can do: Pay the outstanding amount, including any late payment fees, collection fees, and interest. If you are unable to pay or need more time, contact us immediately to explore alternative solutions. The sooner you act, the more options are usually available.

Stage 5: Legal proceedings
If the debt is still not paid, the case may be transferred to a court or enforcement authority. This is always a last resort, and procedures vary significantly by country.
What typically happens:
- Court proceedings: The creditor may apply for a court judgment to secure a legal basis for enforcing the debt.
- Enforcement: If a judgment is obtained, enforcement authorities may begin recovery actions, which could include wage garnishment or asset seizure.
- Payment default: A court judgment or enforcement action may result in a payment default being registered with credit information agencies.
Important: Legal proceedings involve additional costs and can have long-term consequences for your credit record. It is always better to contact us before reaching this stage.
After legal proceedings, the case may continue in post-collection. The debt can remain active and be collected as long as it is legally enforceable. Ropo monitors changes in payment ability and uses appropriate measures to ensure that the receivable remains collectible until it is paid or reaches its final statutory expiration.
